How To Go Virtual and WHY!

For many of you reading this, you may think I am about 10 years late on this topic.  Well guess what, there are still teams and offices that aren’t paperless, and it boggles my mind!  So, just in case there are any of you still struggling with going completely paperless, I thought I would give you a few tips and tricks on how to do so and why it is so important.

1)      Pick a storage solution

  • There are many to choose from: examples are Dropbox, Google Drive, Hightail and SugarSync.

  • I personally like Dropbox because it is widely used, so my chances are high that my clients already have an account and if not, it is very easy to create an account and gain access. However, as I will mention many times – it does not matter which platform you choose; just choose one and use it.

2)      Pick a transaction management platform (TMP)

  • Your TMP is going to be where you, your office manager or file auditor will audit and approve files. If you work for a brokerage that already has a TMP that you are required to upload your files into, then you don’t necessarily need your own TMP. But if you are operating a team at a high level, chances are you will want one of your own.

  • There are so many options: Paperless Pipeline, WiseAgent, Skyslope, etc. Again, it doesn’t matter which platform you choose. The best one is the one you are going to use!

3)      Use DocuSign

  • Yes, you have to pay for DocuSign, but trust me when I say it is WORTH IT! Using some of the other esign platforms may save you a tiny bit of money, but as a company that handles thousands of esigned documents a month, just trust me when I say DocuSign at this time is hands down the best program and until all of the other free versions work out more of their kinks, stick with DocuSign.

Will you have to print something occasionally?  Of course!  But not very often.  You can even do your AVID on your phone and then transfer to the form when you are at your desk. 

Why is it important you go paperless?

You know when you would tell your parents “everyone else is doing it” and they respond “I don’t care what everyone else is doing!”?  Well in this instance you SHOULD do it because everyone else is doing it. 

1)       Literally everyone else is doing it and business practices have shifted so much that if you don’t have paperless options for your agents to turn in files, they will likely go work for a different broker because creating a paper file is time consuming and takes away precious hours for agents to be spending their time towards highest and best use activities.  Studies show most employees are more productive and happier when they are able to work from home – or anywhere of their choosing – so why not give them the ability to do so. 

2)      It will make your life easier! You can handle all aspects of your transaction management and auditing from ANYWHERE!

3)      And lastly, it will help you SAVE MONEY!
